Where you submit information through an advertisement, lead form or recruitment campaign, the information may be transmitted to Tjobs for the purpose described when the information was collected.

From other lawful sources

In limited circumstances, we may obtain professional or recruitment-related information from other lawful sources, including publicly available sources.

Where GDPR Article 14 applies, we provide the information required by applicable law concerning such processing.

5. Why We Process Personal Data

We process personal data only where we have a lawful basis for doing so.

Our processing may include the following purposes.

5.1 Providing the Tjobs service

We process personal data to:

  • create and maintain accounts;
  • create candidate profiles;
  • provide job-search functionality;
  • allow candidates to apply for opportunities;
  • provide recruitment services;
  • operate candidate-search functionality;
  • facilitate contact between candidates and recruiters;
  • manage recruitment processes;
  • provide customer support.

Depending on the circumstances, this processing may be necessary for the performance of a contract or steps requested before entering into a contract under Article 6(1)(b) GDPR.

5.2 Recruitment and candidate matching

We may process candidate information to identify potentially suitable employment opportunities and to enable authorised recruitment organisations to identify potentially suitable candidates.

Depending on the circumstances, this processing may be based on:

  • performance of a contract or pre-contractual steps;
  • our legitimate interests in operating a recruitment platform and facilitating employment opportunities;
  • the legitimate interests of authorised recruitment organisations;
  • consent where required by law.

Where we rely on legitimate interests, we assess whether those interests are overridden by the rights and freedoms of the individual concerned.

6. Candidate Profiles and Recruiter Access

One of the principal functions of Tjobs is to connect candidates with employment opportunities.

Candidate profiles may therefore be searchable or accessible to authorised recruitment agencies, recruiters or employers using Tjobs, subject to the access rules and permissions implemented by the platform.

The information made available may depend on:

  • candidate account settings;
  • recruiter permissions;
  • the recruitment context;
  • candidate status;
  • contractual arrangements with recruitment organisations;
  • applicable legal requirements.

We apply technical and organisational measures designed to prevent unauthorised access to candidate information.

Access to Tjobs does not give recruitment organisations unrestricted rights to use candidate information. Organisations receiving personal data through Tjobs are responsible for complying with applicable data protection law regarding their subsequent processing.

7. CVs and Contact Details

Candidate CVs and profile information may contain personal data.

Where Tjobs permits recruiters or recruitment organisations to view or download candidate information, access may be subject to specific permissions and restrictions.

Certain information, including direct contact details, may be restricted depending on the candidate's recruitment status, platform permissions or contractual arrangements.

Recruitment organisations must not use candidate information obtained through Tjobs for unrelated purposes, unauthorised marketing, unlawful profiling or other purposes incompatible with the recruitment context.

8. Artificial Intelligence and Automated Technologies

Tjobs may use artificial intelligence and other automated technologies to assist users and improve recruitment-related functionality.

Depending on the functionality used, such systems may assist with activities such as:

  • interpreting recruitment search requests;
  • identifying search criteria;
  • searching candidate information;
  • retrieving relevant candidate profiles;
  • organising or presenting recruitment information;
  • assisting users in navigating candidate or job information;
  • generating summaries or responses;
  • improving user interaction with the platform.

Information submitted to an AI-assisted feature may be processed by the systems necessary to provide that functionality.

Tjobs does not intend AI-assisted functionality to replace legally required human judgement in employment decisions.

Where an AI system is used in a manner that constitutes automated decision-making producing legal effects or similarly significant effects within the meaning of Article 22 GDPR, we will apply the safeguards and provide the information required by applicable law.

Unless explicitly stated otherwise for a particular service, Tjobs does not make final hiring decisions on behalf of employers solely through automated processing.

Employers and recruitment organisations remain responsible for their own recruitment and employment decisions.

9. Profiling and Matching

Certain Tjobs functionality may involve analysing candidate information against recruitment criteria.

For example, candidate information such as profession, experience, skills, languages, availability, location or other job-related attributes may be used to identify candidates potentially relevant to a recruitment search.

Such matching does not necessarily mean that a candidate is suitable for, eligible for or guaranteed a particular position.

Recruitment decisions should take into account appropriate human assessment and the circumstances of the individual candidate.

10. Special Categories of Personal Data

We generally do not require candidates to provide special categories of personal data such as information revealing:

  • racial or ethnic origin;
  • political opinions;
  • religious or philosophical beliefs;
  • trade union membership;
  • genetic information;
  • biometric data used for unique identification;
  • health information;
  • information concerning a person's sex life or sexual orientation.

Candidates should not include such information in their profile or CV unless it is genuinely necessary.

Where special-category personal data is processed, we will only do so where a lawful basis under Article 6 GDPR and an applicable condition under Article 9 GDPR exist.

11. Legal Bases for Processing

Depending on the processing activity, we may rely on one or more of the following legal bases:

Contract - Article 6(1)(b) GDPR

Where processing is necessary to provide services requested by you or to take steps at your request before entering into a contract.

Legal obligation - Article 6(1)(c) GDPR

Where processing is necessary for compliance with a legal obligation applicable to us.

Legitimate interests - Article 6(1)(f) GDPR

Where processing is necessary for legitimate interests pursued by Tjobs or a third party, provided those interests are not overridden by your fundamental rights and freedoms.

Such interests may include:

  • operating a recruitment platform;
  • connecting candidates with employment opportunities;
  • protecting our systems and users;
  • preventing fraud and misuse;
  • maintaining service security;
  • establishing, exercising or defending legal claims;
  • improving the reliability and functionality of our services.

Consent - Article 6(1)(a) GDPR

Where we specifically ask for your consent.

Where processing is based on consent, you may withdraw your consent at any time. Withdrawal does not affect the lawfulness of processing performed before withdrawal.

12. Sharing Personal Data

We do not sell personal data.

We may disclose personal data where necessary to:

Recruitment agencies and employers

Candidate information may be shared with authorised recruitment organisations for legitimate recruitment purposes.

Service providers

If Tjobs or its business is reorganised, merged, acquired, sold or transferred, personal data may be transferred as part of that transaction, subject to applicable data protection requirements.

13. International Data Transfers

Some service providers used by Tjobs may process personal data outside the European Economic Area ("EEA").

Where personal data is transferred to a country outside the EEA that has not been recognised by the European Commission as providing an adequate level of protection, we implement appropriate safeguards as required by GDPR.

These may include:

  • European Commission Standard Contractual Clauses;
  • adequacy decisions;
  • supplementary technical and organisational safeguards;
  • other lawful transfer mechanisms permitted under GDPR.

You may contact us for further information regarding the safeguards applicable to international transfers involving your personal data.

14. Data Retention

We retain personal data only for as long as necessary for the purposes for which it was collected, including to provide our services and comply with legal, accounting, security and regulatory obligations.

Retention periods may depend on factors including:

  • whether your account remains active;
  • whether you continue to use Tjobs;
  • the status of recruitment processes;
  • applicable contractual obligations;
  • applicable limitation periods;
  • legal or regulatory requirements;
  • security and fraud-prevention requirements;
  • whether information is necessary for the establishment, exercise or defence of legal claims.

Where personal data is no longer required, it will be deleted or anonymised in accordance with our retention procedures, subject to legal requirements.

Retention periods are reviewed regularly and applied according to the purpose of processing and applicable legal requirements.

15. Account Deletion

You may request deletion of your Tjobs account and associated personal data.

Account deletion does not necessarily result in immediate deletion of every record.

We may retain certain information where necessary to:

  • comply with legal obligations;
  • resolve disputes;
  • establish, exercise or defend legal claims;
  • maintain security and fraud-prevention records;
  • demonstrate compliance;
  • preserve information that must lawfully be retained.

Where information cannot immediately be deleted, its processing will be restricted where required by applicable law.

16. Data Security

We implement appropriate technical and organisational measures designed to protect personal data against:

  • accidental or unlawful destruction;
  • loss;
  • alteration;
  • unauthorised disclosure;
  • unauthorised access.

Measures may include, where appropriate:

  • access controls;
  • authentication mechanisms;
  • encrypted communications;
  • password hashing;
  • logging;
  • system monitoring;
  • backups;
  • restricted administrative access;
  • role-based permissions;
  • security updates;
  • infrastructure protections.

No internet-based system can provide absolute security. We therefore cannot guarantee that unauthorised access will never occur.

17. Your Rights Under GDPR

Subject to the conditions and limitations established by applicable law, you may have the following rights.

Right of access

You may request confirmation of whether we process your personal data and obtain a copy of personal data concerning you.

Right to rectification
